A deployment scenario, not a named customer. This describes how these rollouts run in practice and what to measure, drawn from how the software is built and how these operations work. It does not report one organisation's results. For customer references, ask our team — we will introduce you to someone running it.
The situation
The operator operates multiple library branches serving roughly multiple students and multiple faculty across one region. Each branch maintained its own catalogue — cards or spreadsheets — and circulation was recorded on paper.
The catalogues were accurate about what each branch had bought. They were much less accurate about where a book currently was, because a title borrowed from one branch and returned to another existed in two records and belonged to neither.
What was actually going wrong
- No single catalogue. A student searching for a title had to ask each branch.
- Circulation and cataloguing disagreed. Items marked available were on loan.
- Overdues were chased by hand, so they were chased inconsistently.
- Acquisitions duplicated. Two branches bought the same title in the same term because neither could see the other's order.
- Annual stock verification took multiple days and closed the library while it ran.
What changed
The operator moved to BeyondBoxAI Library Management, migrating multiple catalogue records over multiple weeks.
- One catalogue across branches, with holdings recorded per copy rather than per title, so location is a property of the copy.
- Circulation tied to the same record, so availability is derived rather than maintained.
- Member self-service for search, reservation and renewal.
- Automated overdue notices on a schedule rather than when someone remembered.
- Stock verification by scanning, section by section, without closing.
What to measure
| Measure | Why it matters | Where the figure comes from |
|---|---|---|
| Catalogue accuracy at stock verification | The number that tells you whether the rollout worked | Verification report |
| Days to complete stock verification | The number that tells you whether the rollout worked | Library records |
| Overdue items outstanding | The number that tells you whether the rollout worked | Circulation report |
| Duplicate acquisitions per term | The number that tells you whether the rollout worked | Acquisition log |
