A deployment scenario, not a named customer. This describes how these rollouts run in practice and what to measure, drawn from how the software is built and how these operations work. It does not report one organisation's results. For customer references, ask our team — we will introduce you to someone running it.

The situation

The operator employs around multiple people across multiple locations in several regions, including staff, shift workers and contract labour. Attendance came from a separate system, leave was tracked in a separate system, and payroll ran in a separate system.

Three systems, three versions of the same employee. Each was maintained by someone competent. The problem was not accuracy within a system but agreement between them.

What was actually going wrong

  • Reconciliation consumed the cycle. multiple days a month went on matching attendance to leave to payroll before any payroll work began.
  • Corrections arrived late. An attendance error found after processing became an arrear in the following month, and the employee noticed before HR did.
  • Policy was applied inconsistently across sites because it lived in local practice rather than in a system.
  • Statutory registers were rebuilt by hand each filing period from the same disputed inputs.
  • Nobody could reconstruct a past month exactly as it had been run.

What changed

The operator consolidated onto BeyondBoxAI HRMS over multiple weeks, running parallel with the previous process for multiple cycles before switching.

  • One employee record, with dated assignments, so a mid-month transfer is a fact with a date rather than an overwritten field.
  • Attendance feeding leave and payroll directly, removing the reconciliation step rather than speeding it up.
  • Policy configured per grade and location, so consistency is enforced rather than remembered.
  • The period sealed on approval, with later corrections handled as dated arrears instead of edits to history.
  • Statutory registers generated from the same run that produced the payslips.
