Operations that cannot pause

A hospital runs every hour of every day, with staff on rotating duties, attendants and visitors moving through wards, and equipment whose failure is not an inconvenience but a clinical risk. The administrative load behind that is considerable, and it is usually carried by spreadsheets and registers.

Where the pressure sits

Rosters and attendance across shifts. Duty rosters that change weekly, night shifts, on-call arrangements and leave that has to be covered rather than simply approved. Attendance flows from the biometric device into payroll rather than being retyped.

Who is in the building. Attendant passes, visiting hours, vendor and maintenance access to restricted areas. A visitor system issues a numbered pass with a photo, tells the host, and closes the pass on exit — so the count of people inside is derived rather than estimated.

Equipment uptime. Biomedical and facility equipment carries service schedules, calibration dates and warranty terms. Maintenance driven by those dates, with a full service history against each asset, replaces the file in the engineer's drawer.

Records and requests. Documents stay searchable and access-controlled; internal requests — maintenance, housekeeping, IT — become tracked tickets with an owner and a closing time instead of phone calls.

FREQUENTLY ASKED QUESTIONS

Answers before you decide.

01 Can visiting hours and ward access be different by department?
A01

Yes. Access rules are set per department or area, so an ICU can require host approval for every visit while an outpatient area allows walk-ins. Restricted areas can be limited to named staff and approved vendors.

02 How do attendant passes work?
A02

An attendant is issued a numbered pass tied to the patient and ward, with a photo captured at the desk. The pass closes on exit, so the count of people inside is derived from real check-ins and check-outs rather than estimated at handover.

03 Does it track calibration dates for biomedical equipment?
A03

Yes. Each asset carries its service schedule, calibration due date, warranty and AMC terms, with the full service history against it. Due and overdue items are visible before an audit asks, rather than after.

04 Our staff work rotating shifts around the clock. Is that supported?
A04

Rotating rosters, night shifts and on-call arrangements are core to how the roster module works, because a hospital never has a single shift pattern. Leave requests show the cover position rather than being approved in isolation.

05 Is patient clinical data stored in this system?
A05

No. This handles operations — staff, access, equipment and internal requests. It is not a clinical records system and does not hold diagnoses or treatment data.

06 How long does it take to set up one department?
A06

A single department with its access rules and roster can be running the same day. Extending across a hospital is usually done area by area rather than in one switchover, so daily operations are never dependent on a big-bang go-live.
