What is an HRIS (Human Resource Information System)?

An HRIS is the system of record for employee information — who works here, on what terms, and what has changed over time.

An HRIS, or Human Resource Information System, is the system of record for people data: identity, employment terms, grade, location, reporting line and the history of how each of those has changed.

The emphasis is on record. An HRIS answers questions about state and history — what someone's designation was in March, when a transfer took effect, which documents are on file — rather than running daily operations.

Why the history matters more than the current value

A field that only holds today's value cannot answer an audit. If an employee moved from one plant to another in the middle of a month, payroll for that month depends on knowing the date, not just the destination. A well-built HRIS stores dated assignments rather than overwriting a column, so past periods can be recomputed exactly as they were.

HRIS compared with HRMS

An HRMS generally includes the HRIS and adds the processes that consume it: attendance, leave, payroll and compliance. Most modern products ship both, so the practical question is whether the record layer is properly dated and auditable, not which label the vendor chose.
