What is a shift roster?

A shift roster is the published plan of who works when — the reference every attendance, overtime and payroll calculation is measured against.

A shift roster is the plan of who is working which shift, at which location, over a period. It is published in advance so people know when to turn up, and it becomes the reference against which actual attendance is judged.

Why the roster is the reference

Almost every workforce calculation is a comparison against the roster. Late means late relative to a rostered start. Overtime is hours beyond a rostered shift. An absence is a rostered shift nobody worked. Without a roster, none of those has a definition — which is why organisations that track attendance without rostering find the numbers hard to defend.

What a roster has to handle

Published, then frozen

A roster that can be edited after the fact stops being evidence. If the rostered start can be moved to match when someone actually arrived, lateness disappears and the register cannot support a payroll query. Sound systems keep changes to a published roster as dated amendments rather than silent edits.
